Description
 

The application Experts management is designed to allow National Committees to appoint experts in the working groups of the committees.

National Committees will assign the role Member (MEM) for the experts, in the committees where they are a P-member. In addition, they will also assign the role Delegate (DLE) and Head of Delegation (HOD) for the TC/SC meetings.

 
Access to the application
 

The access to the application is available via the Permission system main menu. Once you have entered your username and password, you will have the option Experts management on your main menu.

The access to the application is assigned as follows:

  • National Committees: add, delete, modify data and membership for experts in own country (the authorization is assigned by Central Office, upon request of NC Secretary)
  • TC/SC Officers (Chairman, Secretary, Assistant Secretary): view and export complete information for experts in own committee
  • WG/PT/MT convenors and project leaders: view and export complete information for experts in own group
 
Groups and Roles
 

The groups allowed are:

  • Working Group (WG)
  • Maintenance Team (MT)
  • Project Team (PT)
  • Ad Hoc Working Group (HWG)
  • Joint Working Group (JWG)
  • Validation Team (VT)

The roles allowed in the various groups are:

  • TC/SC: Chairman (PRE), Secretary (SEC), Assistant Secretary (SAD), Delegate (DEL), Head of Delegation (HOD)
  • WG/MT: Convenor (CON), Member (MEM)
  • PT: Project leader (PRL), Member (MEM)
 
Assignment of roles
 

The roles are assigned by National Committees and Central Office as follows:

National Committees:

Futher to the procedures described in ISO/IEC Directives:2004:

  • Chairman (PRE) in TC/SCs
  • Secretary (SEC) in TC/SCs
  • Assistant secretary (SAD) in TC/SCs

Further to the request of the TC/SC Secretary:

  • Convenor (CON) in WG/MT/HWG/JWG
  • Project leader (PRL) in PTx
  • Member (MEM) in HWG/AWG
  • Liaison Member (LIA) in WG/MT/JWG
 
Delegate, Head of Delegation
 

The roles Delegate and Head of Delegation should be assigned only when a TC or SC meeting is planned, has been officially announced and the registration information made available. These roles are valid for the next meeting of the TC or SC and are removed automatically the day after the meeting.

When these roles are assigned, an e-mail notification is sent to the TC/SC Officers. The same applies when these roles are removed. Note that the notification means that the role has been removed, it does not affect the regular role of the expert.

 
Nomination of experts during an NP vote
 

For NP documents, National Committees should continue to submit the names of the experts using the electronic voting system. After the result of voting, if the NP is approved, the working group will be created by Central Office and the names and coordinates of the experts will also be entered by Central Office staff.

 
E-mail notification
 

When an expert is added to or removed from a working group, the e-mail notifications are sent as follows:

  • WG/PT/MT convenors and project leaders: receive the e-mail for changes in their working group
  • TC Officers: receive the e-mail for changes in their committee, including subcommittees and WG/PT/MT
  • SC Officers: receive the e-mail for changes in their subcommittee, including subcommittees and WG/PT/MT

An e-mail is also sent to the NC Secretary for new experts added to the system or when the existing record for an expert is deleted form the system.

Examples:

An expert is added to (or removed from) TC3/MT17, the notification is sent to:

  • TC3 Officers
  • MT17 Convenor

An expert is added to (or removed from) SC3C/PT17, the notification is sent to:

  • TC3 Officers
  • SC3C Officers
  • SC3C/PT17 Project leader

A new French expert is added to the system and has been assigned to TC3/MT17, the notification is sent to:

  • French NC Secretary
  • TC3 Officers
  • MT17 Convenor

The record of a German expert is removed, he/she had the role MEM in TC3/MT17, the notification is sent to:

  • German NC Secretary
  • TC3 Officers
  • MT17 Convenor
 
Lists in Excel
 

The lists can be exported in Excel to allow additional sorting criteria. Once the file is saved, you can open it with Excel and use the automatic filter option (Data, Filter, Automatic filter). You can now display only the convenors, or the members who are in France, etc.

Note that the export file will contain the complete data for the persons in your committee only. If you select a different committee, then the file will only include the group, name, role and NC of the persons.
