How
to use the Form Agenda With the objective of standardizing the appearance of draft agendas and ensuring that all the essential elements are present, the Central Office has prepared a template for TC/SC meeting agendas. Here are some instructions to help you use the agenda. Install the template to your templates folder as with all IEC forms and templates. To create a new agenda, click on File, New, and select Form-Agenda.
The first part of the document until item 4 is in protected mode and you should use TAB to move between the protected fields that you will fill in. After item 5, the document is unprotected; enter the Description for item 5, then press TAB to move to the cell Documents where you will enter the document reference. Press TAB again to create a new line, number 6 will be automatically entered and the cursor is in the cell Item. |
| If you need to create a sub-item, for example 5.1, click on the icon Increase indent on the Formatting toolbar | |
The number of the item will change to 5.1. When you create the next item, the number will increment 5.2, if you need to create a further subdivision (5.1.1), click again on the Increase indent icon. The item numbers can be subdivided up to 3 levels (4.1.1.1) in the Item cell. It is not recommended to subdivide more than this. |
To reduce the level of subdivision of an item, click on the icon Decrease indent on the Formatting toolbar |
When you use Decrease indent, the numbering will return to the previous level:
The numbering of the last 4 items of the draft agenda is updated automatically every time a new item is inserted. The agenda items you fill in should include all NPs, CDs and CDVs distributed since the previous meeting. In the Documents column, give the reference number of both NP, CD or CDV and the corresponding RVN, CC or RVC. FDISs cannot be discussed in meetings so they should not appear individually on the agenda. They can appear collectively, for example under an item: "Note FDISs and Publications distributed since the last meeting" or "Report from the Secretariat". You should also include Reports from PTs/WGs/MTs and any relevant documentation. If appropriate, include discussion of the TC/SC scope, SPS, Maintenance Plan, again with relevant documentation. Note: There is a very small line preceding the final 4 agenda items which is used to split the table in two. This allows you to enter the main body of the agenda items. Do not delete this line as it will make manipulations of the agenda items more difficult. |
